By placing a booking with us, you agree to the following Terms & Conditions. Please read them carefully before making a reservation.

1. Booking Confirmation

1.1 Journey Acknowledgement

Once your booking and payment are completed, you will receive a Booking Confirmation Email. You must check all details (date, time, pickup location, passenger information, flight number, etc.) and notify us immediately of any errors. We cannot be held responsible for incorrect information supplied by customers.

1.2 Driver Assignment

A separate Driver Details Email or SMS/WhatsApp message will be sent once a driver has been allocated. This information normally includes pickup instructions and driver contact details.
You are responsible for retaining this information. No refunds will be issued if a passenger fails to take the driver details with them and cannot locate the driver.

2. Responsibility & Liability

2.1 Missed Flights & Travel Delays

U&M TECH SOLUTIONS LTD accepts no responsibility for missed flights under any circumstances, including but not limited to:

  • Traffic delays
  • Road closures or diversions
  • Accidents
  • Vehicle breakdowns
  • Adverse weather conditions
  • Any unforeseen circumstances beyond our control

We strongly advise passengers to allow at least 2–3 hours before their flight in addition to normal travel time.

2.2 Passenger Choice of Arrival Time

If you choose to arrive at the airport with less than the recommended buffer time, you accept full responsibility for any missed flight. No refund will be issued.

2.3 Travel Insurance

We recommend all passengers obtain adequate travel insurance before travelling.

2.4 Vehicle Capacity

You are responsible for booking a vehicle suitable for your passenger and luggage requirements.
We do not accept liability if:

  • Luggage does not fit in the vehicle booked
  • Additional vehicles are required
  • Extra charges arise due to incorrect information

2.5 Carriage of Animals

Animals are only permitted if approved during the booking process.
They must be transported in a secure carrier.
We may refuse carriage if these conditions are not met.

3. Journey Requirements

3.1 Arrival Flight Details

Please provide your arrival time into the UK, not the departure time from another country.

3.2 Flight Delays

If your flight is significantly delayed, you must inform us as soon as possible. We will attempt to adjust schedules but cannot guarantee driver availability.

3.3 Route Taken by Driver

Drivers may choose the route they feel is most suitable at the time of travel. Passengers may request an alternative route, subject to driver approval.

4. Use of Third-Party Drivers

While we use our own registered drivers wherever possible, we also partner with licensed third-party operators to fulfil bookings. All third-party drivers comply with local licensing laws.

We may upgrade your vehicle type at no additional cost if your chosen vehicle becomes unavailable.

5. Price, Surcharges & Payments

5.1 Pricing

Prices are calculated based on:

  • Distance
  • Time/date of travel
  • Passenger and luggage requirements
  • Vehicle type

5.2 Holiday Surcharges

A 50% surcharge applies during peak holiday periods:

  • 24 December 18:00 – 26 December 23:59
  • 31 December 18:00 – 1 January 23:59
  • Additional dates may apply and will be shown at checkout.

5.3 Payment Processing

All card payments are processed securely by our third-party payment provider.
We do not store card details.

You may be offered the option to save your card securely through our payment processor. Saved cards can be removed at any time.

We may charge additional amounts (e.g., Meet & Greet upgrades, waiting time, amendments) to the original payment method with your permission.

Refunds are always issued to the original payment method.

6. Waiting Time Policy

6.1 Address Pickups (Non-Airport)

  • 10 minutes free waiting time from the scheduled pickup time.
  • After this, waiting time is charged at our standard rate + parking (if applicable).
  • If extra waiting time is not paid when requested, the driver may leave.

6.2 Airport Pickups

Free waiting time starts from the actual landing time, using live flight data:

After free waiting time expires:

  • Driver waiting time + parking is chargeable.
  • A payment link will be sent.
  • If unpaid, the driver may leave.

7. Amendments to Bookings

Any amendment (time, date, passenger number, route, vehicle size, etc.) must be requested via:

  • Email
  • Phone
  • WhatsApp

Amendments made directly with a driver are not valid.

Additional fees may apply for changes.

8. No-Show Policy

A passenger is considered a No Show when:

  • The driver waits until free waiting time ends
  • Attempts to contact the passenger fail
  • No extra waiting time payment is made
  • The passenger cannot be located at the pickup point

No refund is issued for No-Shows.

9. Rebooking

All bookings must be made through our website or customer support team.
This ensures:

  • Driver allocation
  • Insurance coverage
  • Accurate booking records

Drivers cannot take direct bookings.

10. Cancellations & Refunds

10.1 Free Cancellation Window

  • Within London pickups: Free cancellation up to 3 hours before pickup.
  • Outside London pickups: Free cancellation up to 7 hours before pickup.

10.2 Late Cancellation

If cancellation occurs after the above timeframes:

  • A 100% charge of the booking cost applies.

10.3 Administration Fee

For cancellations within the free window, an admin fee may apply:

  • £7 or 10% of the fare (whichever is higher)

10.4 No Refunds

Refunds will not be issued:

  • For No-Shows
  • For cancellations made after the free cancellation period
  • If incorrect booking information is provided
  • If passengers take alternative transport without contacting us

11. Damage & Cleaning Fees

If passengers cause damage to the vehicle or require professional cleaning (e.g., spillages, sickness), you will be charged the full cost of repairs or cleaning.

12. Privacy & Data Protection

We collect only the information necessary to provide our services.
Data may be shared with:

  • Drivers assigned to your journey
  • Third-party transport partners
  • Payment processors

We do not sell personal data.

These Terms & Conditions are governed by the laws of England and Wales.
